Daily lead reports that build themselves

Every morning the online academy's marketer opened the CRM and spent half an hour counting leads: pipeline after pipeline, filter after filter, across all 8 courses. Now the report updates itself, and that half hour a day goes to ads and strategy.

The challenge

Half an hour a day of manual counting

Every day the marketer went through each course pipeline in the CRM, filtered the day's leads and counted how many came from each source. Course after course. The client came with a clear request: remove this manual work.

Before: by hand, every day

  1. Open one course's pipeline in the CRM
  2. Filter leads for the day
  3. Use the source filter to count leads from each source
  4. Write the numbers into the report
  5. Repeat for all 8 courses and compare with the plan

Now

0 minLeads land in the table automatically, the source is assigned automatically, and the daily and weekly report updates itself.

  • 01A Make scenario for each of the 8 courses: once a day it pulls new leads from the CRM and writes them to the table with date, source, course and tags.
  • 02Every lead is automatically assigned one of 17 sources: Meta and TikTok lead forms and website, Telegram bots, Instagram, email, Google, organic, LinkedIn, live webinars and auto-webinars.
  • 03Leads without tags are shown on a separate row, so none get lost.
  • 04Every Monday morning the script creates a new week: a block for each day plus a weekly total with plan and % completed.
  • 05The report updates itself every day: new leads appear in their day's block. Past weeks stay below for comparison.
